SOAP Notes — Privacy Policy
SOAP Notes is a record book for massage therapists, physical therapists, chiropractors and other hands-on practitioners. Your client records are stored only on your device. There is no account and no server. We never see your records, so they are never used for AI training or marketing.
Client records
Everything you enter about your clients stays in the app's private storage on your device:
- Client details, health history, intake answers and signed forms
- Session notes, body charts, measurements, photos and attached files
- Appointments, fees and payments
The operating system encrypts this storage while your device is locked, as long as the device has a passcode. You can also lock the app itself with Face ID, fingerprint or a passcode of its own (Settings → Security). Exporting, backing up, restoring and deleting records ask you to confirm it's you first.
What leaves your device
Only files you make and send yourself:
- PDF notes, receipts and superbills
- Backup files, which you can encrypt with a passphrase
- CSV and JSON exports, and calendar (.ics) files
They leave the device only when you share or save them. Where they go (Mail, Files, a cloud drive, a computer) is your choice and is governed by that service's own policy.
Automatic backup is off until you turn it on. On iPhone and iPad it saves one file, replaced each day, to the app's folder in your iCloud Drive; on Android, to a folder you choose. That file is always encrypted (AES-256) with a passphrase only you know, so neither Apple, Google nor we can read it. If you forget the passphrase, the file cannot be opened.
What we collect
Anonymous usage statistics and crash reports, through Google Firebase Analytics and Crashlytics: which screens are opened, which features are used (for example "a note was signed" or "a PDF was exported"), counts in broad ranges, and technical details of crashes. These never contain client names, notes, health information or anything else you type. They are not linked to your identity, are not used for advertising and are not sold. Test builds send no usage statistics.
SOAP Notes shows no ads and does not track you across other companies' apps or websites.
Purchases
Premium is bought through the App Store or Google Play. They handle the payment; we receive no card or billing details, only whether a purchase is active.
Permissions
Each is asked for only when you first use the feature that needs it:
- Camera — posture photos and scanning paper forms. Photos stay in the app, not in your photo library.
- Face ID / fingerprint — unlocking the app when the app lock is on.
- Notifications — appointment reminders and the morning summary, scheduled on your device. No push service is involved.
Picking a contact, photo or file uses the system's own picker, so the app receives only the item you choose. Adding an appointment to your calendar uses the system's own screen; the app does not read your calendar.
Retention and deletion
Records stay on your device until you delete them. You set how long records must be kept (Settings → Record retention); the app warns you before you delete a record inside that period, but it never deletes one on its own. Deleting the app deletes every record in it — make a backup first.
Your responsibilities as a practitioner
You are the keeper of your clients' records. Rules on how records must be kept differ by profession and place, so check what applies to you. SOAP Notes does not give medical advice and does not diagnose.
Children
SOAP Notes is made for practitioners and is not directed at children under 13. Records about clients of any age are handled as described above.
Changes
If this policy changes, the new version will be posted on this page with a new date.
